In adherence to the General Conditions of Westline Tours (GCWT), the individual or entity (referred to hereinafter as the client) engages Westline Tours (hereinafter referred to as Westline Tours) to provide consultation, organization, and coordination for a group tour involving participants specified by the client. By submitting a booking order to Westline Tours, you implicitly accept the terms outlined in the General Conditions of Westline Tours, unless otherwise specified in the offer.
BOOKING
A. All reservations/bookings should be made in writing through Westline Tours.
B. To ensure a good co-operation, early bookings are recommended (if possible, not less than two months before the start of the tour).
C. The implementation of a booking will start immediately on receipt of a written booking order.
D. The group tour must be paid as indicated on the due date of the proforma invoice/bill.
E. Payment should be made by the way of bank transfer or as otherwise agreed by the parties. Currencies of payment are in euro. Payment by credit card can only be accepted if agreed by the parties, and a supplementary charge will apply when payment is made by credit card.
F. Vouchers and travel documents will only be released upon receipt of full payment for the tour.
1. G. To guarantee the requested room/ accommodation, Westline Tours requires a final rooming list 31 days and a booking status 8 weeks prior to departure.
1. H. If the supplier requires a deposit, Westline Tours reserves the right to request the same amount from the client to ensure the services of the supplier.
1. I. All additional bookings and extra requests after the final confirmation of the tour and/or other services are subject to availability and needs to be reconfirmed.
J. In the interest of the client, Westline Tours reserves the right to change certain travel services already agreed upon, such as accommodation, transport, methods of transport, excursions etc. to a similar or higher standard before the start of the group tour.
L. All the bank transaction fees and commissions must be paid by the partner. Full amount of the invoice should be paid in full into our company account. The finance department has the right to recharge the missing balance again to you and again the transfer costs will be covered by the partners
TOUR PRICING
A. The price of the group tour is valid for groups of more than 15 persons, or as stated in the offer, and it is calculated based on the contract prices submitted by Westline Tours suppliers. If the group consists of less than 15 persons, Westline Tours reserves the right to charge for additional costs.
B. Flight tickets and visa are not included unless stated in the offer.
INSURANCE
A. Individual travel insurance is not included in the tour price, and the client pays all medical cost and other cost involved. Travel and cancellation insurances are highly recommended. The client is responsible for informing travelers of the importance of adequate travel insurances.
FREE OF CHARGE (FOC)
A. For groups of 15 paying participants the 16th is FOC.
B. The Tour Leader or 1 paying participant in double room (15+1).
4. C. For groups of 30 paying participants the 31st and 32nd is FOC.
D. The Tour Leader and 1 paying participant in double room (30+2). This FOC policy is valid unless stated otherwise in the offer.
CANCELATION POLICY
A. Group cancelation policy.
The client may cancel a tour for a whole group on the following conditions if not stated otherwise.
All cancellations must be done in writing form by e-mail.
A1. If the tour is cancelled at the latest 32 days prior to the start of the tour, no charges will apply.
A2. If the tour is cancelled at the latest 31 days prior to the start of the tour 10% of the total costs will be charged.
A3. If the tour is cancelled 30-15 days prior to the start of the tour 50% of the total costs will be charged.
A4. If cancellations take place less than 14 days before departure, 100% of the total group tour cost will be charged.
Note: For group members that may cancel the group tour, the same conditions as per group cancelation policy as above will be applied.
B. Individual cancelation policy (FIT).
The client may cancel a tour on the following conditions if not stated otherwise.
All cancellations must be done in writing form by e-mail.
B1. If the tour is cancelled at the latest 31 days prior to the start of the tour, no charges will apply.
B2. If the tour is cancelled 30-16 days prior to the start of the tour 25% of the total costs will be charged.
B3. If the tour is cancelled 15-8 days prior to the start of the tour 50% of the total costs will be charged.
B4. If cancellations take place less than 7 days before departure, 100% of the total group tour cost will be charged.
B5. If individual participants end the tour before the tour has ended or been finalized, the client cannot claim any refunds from Westline Tours, regardless of which reason the participant had to end the tour.
B6. If the client has not delivered a name list 30 days prior to departure, Westline Tours reserves the right to cancel the whole group to avoid cancellation fees from the suppliers.
B7. Westline Tours can withdraw from the contract if the tour cannot be carried out because of force majeure such as strikes, political upheavals or acts of war, epidemics, disasters, etc. The payments already made will be refunded to the client, but no further claims will be accepted.
LIABILITY
A. Westline Tours disclaims responsibility for any loss, injury, damage, accidents, sickness or schedule changes caused by weather or road conditions, force majeure such as natural catastrophes, strikes, riots, epidemic and pandemic diseases or any other irregularities beyond the control of Westline Tours. Westline Tours reserves the right to alter routes, itineraries, or departure times, without prior notice, should the necessity arise.
B. Westline Tours is not responsible for loses of luggage, documents, money, if this loses are accord through tours fault.
CUSTOMER RELATIONS SERVICE
A. Compensation claims should only cover the contractual elements of the reservations. No subjective nature of assessment will be considered. The purchaser may notify of a complaint for poor or non-execution of service as soon as possible including necessary documentation and in writing no later than 30 days after their respective return. We advise our clients to notify us of problems on site so that the difficulties can be resolved during the travelers’ trip, failure to do so may result in repudiation of compensation.
7. B. If the client does not use all and/or part of the services to their full extent as arranged, no refunds will be granted by Westline Tours.
7. C. Every participant is responsible for providing own personal travel documents such as a passport, visa, and vaccination certificates.
VALIDITY OF PRICES
A. Westline Tours reserves the right to adjust the prices for reasons that Westline Tours cannot be held responsible for, such as new or increased charges or taxes, general price alterations, fuel increases, and increases arising from currency/exchange rate fluctuations. The tour prices will be adjusted if the exchange rate increases with more than 5% during the period between the initial booking and the tour departure.
